University-sponsored camps and clinics provide educational, recreational and enrichment opportunities for youth and other participants across the University of 狐狸少女 System. Camp organizers are responsible for planning and operating programs in a manner that promotes participant safety, supports compliance with university requirements and helps reduce risk.

Planning & Eligibility

Camp Information

  • Clearly communicate the camp's purpose, value and goals.
  • Communicate refund and cancellation policies during enrollment.
  • Provide participants with a camp schedule.
  • Provide lists of items that are:
    • Required (e.g., clothing, toiletries, bedding).
    • Optional (e.g., books, musical instruments, sports gear).
    • Prohibited (e.g., valuables, weapons, electronics).

Activity Planning

  • Tailor activities to the age and experience of participants.
  • Avoid high-risk or accident-prone activities whenever possible.
  • Group participants by age and skill level.
  • Assess camper skills to ensure activities are appropriate.
  • Schedule regular water and rest breaks.
  • Dismiss campers in small, age-appropriate groups and follow established pick-up procedures.

Eligibility Requirements

  • Participants must meet age and skill-level requirements as outlined in camp materials.
  • All registration forms, waivers and medical release documents must be completed before participation.

 

Staffing & Safety

Staffing Expectations

  • Staff-to-camper ratios must comply with University guidelines.
  • Staff conduct expectations should be clearly outlined.
  • Reporting chains should be clearly communicated.
  • Staff should wear bright, easily identifiable clothing.
  • Conduct daily staff debrief and feedback sessions.

Staff Training

Staff training should cover:

  • Camper supervision and engagement
  • Behavior management
  • Emergency response
  • Inclusivity and cultural sensitivity
  • Communication and teamwork

Transportation & Pick-Ups

  • Campers must be signed in and out by authorized adults.
  • The university is not responsible for transportation unless explicitly stated.
  • Hire an outside vendor, when possible, when providing transportation.
  • When using university vehicles, follow required adult-to-camper ratios.
  • Conduct a head count before transporting campers.

Emergency Preparedness

  • Camps must maintain access to first aid kits.
  • Camps must maintain emergency contact lists.
  • Emergency procedures should be communicated to all staff and campers.
  • Protocols should be established for:
    • Fire, severe weather and lockdown
    • Missing camper
    • Medical emergency and evacuation
  • Emergency contact trees and campus security coordination procedures should be established.

Medical Information & Reporting

  • Parents/guardians must disclose medical conditions, allergies and medications.
  • Camps must follow the  
  • COVID-19 or other communicable disease protocols must be followed.
  • Document any injuries via the form.

Youth Protection Compliance

University-sponsored camps and clinics that involve minors must comply with the University of 狐狸少女 System's Youth Protection requirements.

Conduct & Accountability

Code of Conduct

  • Campers must show respect toward staff, peers, facilities and equipment.
  • Bullying, harassment or discrimination of any kind is not tolerated.
  • Use of alcohol, tobacco or illegal substances is strictly prohibited.

Facility & Property Protection

  • Campers are responsible for helping protect University property.
  • Damage caused by negligence or misconduct may result in fees or dismissal.
  • Camps must follow University guidelines for facility access and equipment use.

Media & Privacy

  • Parents or guardians may opt out of photo and video releases.
  • Staff should be informed when a participant has not consented to photo or video use.
  • Campers may not use personal devices to record others without consent.

Behavioral Intervention

  • Maintain a written behavior plan outlining expectations and consequences.
  • Provide a verbal warning for a first-time minor infraction.
  • Clearly explain the inappropriate behavior and expected corrective action.
  • For repeated or more serious infractions, the camper should meet with senior staff.

Participant Removal

  • Camp administrators may immediately remove a camper if their behavior poses a threat to themselves or others.
  • Notify the parent or guardian.
  • Safely remove the camper from camp activities.
  • Complete appropriate documentation.
